Common Multilingual DTP Challenges and How We Solve Them

Translated content rarely fits the original layout as-is. These are the problems we deal with most often, and how we fix them.

Text expansion and contraction – Languages such as German, French, Spanish and Russian often run longer than English, while Chinese and Japanese usually run shorter. Longer text causes overflow, awkward line breaks and broken tables. We solve it by adjusting leading, tracking, column widths and image sizes, and by rebalancing the layout page by page, without shrinking text below a readable size.

Right-to-left (RTL) layouts – Arabic, Hebrew, Urdu and Farsi need more than flipped text. Page structure, tables, bullets, icons, arrows, progress bars and page order often need to be mirrored. We rebuild the layout for RTL reading and use RTL-capable settings in InDesign so text flows and aligns correctly.

Mixed-direction text – Numbers, brand names, URLs and English terms inside Arabic or Hebrew text can jumble punctuation and reorder words. We check every mixed-direction line and fix punctuation placement, number order and bracket direction.

Complex scripts and shaping – Hindi, Bengali, Tamil, Thai and Arabic use conjuncts, ligatures and contextual forms that must render correctly. We use fonts and text engines that shape these scripts properly, then proof the output to make sure no characters are broken, detached or missing.

CJK typesetting rules – Chinese, Japanese and Korean follow their own rules for line breaking, punctuation placement, spacing and vertical text. We apply the correct composition rules for each language, so lines break naturally and punctuation doesn’t land in the wrong position.

Font availability and missing glyphs – A font that works in English often lacks characters for other scripts, which leads to empty boxes or unwanted font substitution. We select fonts with full glyph coverage that match your brand’s look as closely as possible, and we confirm font licensing for your use.

Text in images and graphics – Embedded text in charts, icons, screenshots and infographics can’t be edited easily. We rebuild or replace these elements so every language version is fully localized, not just the body text.

Cultural and visual adaptation – Colours, symbols, gestures, imagery and formats (dates, numbers, units, currency) mean different things in different markets. We flag and adapt anything that could confuse or offend your audience.

Consistency across many languages – When one project covers 10 or more languages, small differences multiply. We use shared styles, templates and checklists so every version stays aligned with your brand and with each other.

What We Need From You

A complete package at the start means faster delivery and fewer questions. Here’s what to send:

  • Editable source files: InDesign (INDD, with IDML if possible), Illustrator, Photoshop, FrameMaker, Word or PowerPoint
  • Linked assets: all images, graphics and placed files
  • Fonts: the fonts used in the original, or the brand font names so we can source suitable alternatives for each script
  • Translated text: in Word, Excel, XLIFF or another format your linguists use. If you’d like us to arrange translation, tell us and we’ll coordinate it.
  • Reference PDF: a final PDF of the source layout so we match it exactly
  • Style guides and brand guidelines: if you have them
  • Language list and deadline: including any language-specific requirements, such as regional variants

No Source Files? We Can Still Help

If you only have a PDF, a scan or a printed copy, we can still deliver editable files.

We recreate layouts in InDesign or your preferred format, matching the original design, fonts and spacing as closely as possible. Scanned or image-based text is converted with OCR and then checked manually, so the result is clean and editable. Once your files are rebuilt, localizing them into any language is straightforward.
